UNLV is a publicly funded, non-partisan, R1 and Community Engaged institution which proudly supports democracy and free speech. UNLV welcomes and encourages dignitaries, such as elected officials, candidates for office, and other community leaders, to visit and engage in dialogue with our university community. Large- and small-scale events, especially those where elected officials may be in attendance, require adherence to UNLV policies, including those governing elected officials’ engagement with such activities. To ensure dignitary visits and events are successful, properly staffed, and security needs are fully addressed, please follow the steps below.

1. Seek prior approval from your immediate supervisor and program lead Director / Associate Vice President / Vice President.
2. Complete the Elected Officials Visiting UNLV Notification form.
3. Ensure the dignitary has appropriate contact information leading up to, and at the point of arrival to UNLV.
4. Confirm if there are extra security needs required for the dignitary.
5. Ensure there is someone from your team available to meet them in the parking lot, and escort them to your event; especially for those dignitaries who are first time visitors to UNLV.
6. Inviting unit is responsible for absorbing costs for parking, refreshments, graphic design, and public relations needs.
7. Inviting unit’s staff are responsible for room reservations, leading communications / public relations, and arranging all logistics.
8. Please ensure appropriate doors are unlocked and the dignitary enters the room with ease. Always have the Facilities’ phone number handy, (702)-895-4357, in case there are locked doors.
9. GCE Team will make every effort to attend your event, please copy Constance Brooks Johnson and Leonardo Benavides when invitations are sent.
10. Social Media: The targeted unit is encouraged to tag GCE to create more visibility on the visit. Search UNLVGovandComm on Facebook, LinkedIn, Instagram, Bluesky, and X.
11. Follow-up “thank you” - please be sure to send at least an email thank you to the dignitary for their time.
12. Prohibitions with the Dignitary:

          a.     Discussing your personal political agenda.

          b.     Soliciting votes for a candidate, initiative, caucus, or special interest.

          c.     Engaging in debate or combative exchange.
