Whether you are separating, retiring, or transferring within UNLV, NSHE or to another state agency, engaging in the offboarding process ensures a smooth transition for you and UNLV.
Offboarding Checklist
Essential Actions for All Employees
- Notify Your Supervisor: Discuss your exit with your supervisor and determine an effective date.
- Discuss Time Off: Meet with your department’s absence partner to ensure that all your time off requests are correct in Workday. Note that rules regarding the use payout forfeiture, transfer, and accrual of further leave varies based on your contract and employee type.
- Return Department Property: This includes phones, computers, office keys, access cards, uniforms, and/or department credit cards.
- Update Your Voicemail and Email: Set up a message to reflect that you are leaving and provide information on individuals to contact.
- Update Your Personal Email and Address with PEBP: Visit the PEBP website to review and update your information.
Additional Actions
- Submit Letter of Resignation/Transfer: Classified employees must complete the Notice of Transfer or Resignation form. All other employee types must prepare a written resignation/transfer letter.
- Initiate your Resignation in Workday: This will require you to complete any outstanding inbox items, review any delegations (and reassign if necessary), and update your personal email and address (your UNLV email will end on your last day of employment).
- Refer to the Submit Resignation Workday Job Aid for step-by-step guidance.
- You can update your email and address by selecting the cloud in the upper right corner and selecting View Profile>‘Actions>Personal Data>Change Contact Information.
- Schedule an Offboarding Appointment: During this meeting, you will discuss the continuation of benefits, retirement accounts, time off, payroll, and the employee exit survey. Call 702-895-3504 or email offboarding@unlv.edu to schedule a meeting.
- Settle Any Outstanding Debt Owed to the University: Debts can include, but are not limited to, travel, library fines, and parking citations.
Note: A break in service will result in a separation and rehire, rather than a transfer.
- Discuss Access Requests with Your New Department: All access with your former department will be turned off once you transfer. You will need new access and approval from your new department.

* Employees who transfer to a qualifying state agency without a break in service may request the transfer of their accrued, unused sick and vacation leave to the receiving state agency. Approval of the transfer is subject to the receiving agency’s discretion and timely notification to UNLV Human Resources. If the transfer is not approved or notification is not received, the employee will be paid out for unused leave, where applicable.
- Respond/Accept Resignation Notice: Immediate supervisors must officially respond/accept the resignation by emailing the employee a Supervisor's Resignation Acceptance Letter within 1-2 business days of employee's written notification. This does not apply to employees who are transferring to a different position within UNLV.
- If the employee did not submit the resignation notice through Workday or resigned unexpectedly with no notice, the supervisor will initiate the termination in Workday and upload the Written Resignation from the employee and the Supervisor’s Resignation Acceptance Letter. Refer to the Separation Workday Training Guide for step-by-step guidance.
- Update Your Databases: Remove the employee from signature list, department distribution list, department webpage, shared Google accounts.
- Cancel Upcoming Travel and Training: Follow department procedures.
