Memberships

There are two types of memberships:

  • Institutional memberships: held in the name of the institution and transferable to anyone the institution may assign.
  • Individual memberships: held in the name of an individual.

Written approval from the appropriate dean, vice president, or the director of athletics is required before payment is made. The approval confirms that the expense:

  • Is not personal in nature
  • Is in the interest of the university
  • Does not duplicate an existing institutional membership
  • Is required for the employee to perform current duties (licenses, dues, fees)

Institutional Membership Payment Methods

The following payment methods may be used for institutional memberships:

  • Purchasing Card (PCard)
  • Supplier Invoice Request
  • State funds

Individual Membership Payment Methods

The following payment methods may be used for individual memberships:

  • Purchasing Card (PCard)
  • Supplier Invoice Request
  • Employee expense reimbursement

Important note: Individual memberships cannot be paid using state funds.

Licenses, Dues, and Fees

  • Professional licenses: licenses required of individuals in certain occupations by state or local law (e.g. medical licenses, operational licenses, CPA licenses, and real estate licenses).
  • Dues: Professional association or organization dues are generally assessed by a qualified individual or organization because of educational background, the individual’s occupational field, or interest in the association or organization.
  • Fees: Conference, registration, seminar, and training fees fall within this category. 

Eligibility

To be eligible for reimbursement for costs associated with licenses, dues, and fees, employees must meet the following criteria:

  • Be employed in a position that requires the applicable professional license or certification
  • Be a permanent, full-time employee
  • Have worked for the State for at least one year

Important note: Employees under a collective bargaining agreement are not eligible unless the agreement specifically provides for the reimbursement of professional licenses, registrations, or certifications.

Reimbursable expenses include: 

  • Costs for obtaining the license, registration, or certification
  • Renewal costs to maintain the license, registration, or certification

Payment Methods

  • PCard
    • The PCard holder must attach supporting documentation to the PCard verification that includes a full description of the purchase and the total payment amount.
  • Purchase order
  • Employee reimbursement via expense report
    • If incurred on travel status, must be included with a travel expense report.

Important note: Licenses and association and organization dues cannot be paid for with state funds.

Payment Guidance

Employees must submit supporting documentation for all license, dues, and fee purchases. Supporting documentation can include receipts or other proofs of purchase. Documentation must:

  • Clearly identify the license, membership, dues, or other item being purchased.
  • Detail the total cost and provide a breakdown of all applicable fees, assessments, and other associated costs.  
  • Show that the employee paid the expense. 
  • Identify the applicable UNLV department. 
  • Show that the corresponding license, membership, or account is held in the employee’s name
  • Must include the complete supporting materials that detail all fees and assessments.

Donations and costs associated with donations are not reimbursable.
