All recruitments will be initiated and managed in Workday.

New Positions: Create a New Position

Task 1: Start the Process

New positions must be initiated using the Create Position business process in Workday.

Note: It is important to indicate an accurate number of positions you are seeking to create because you are unable to edit the number of new positions once they have been approved in Workday.

If your new position will supervise employees, the supervisory organization must be set up prior to creating the position in Workday. Please submit a Supervisory Organization Automated Request (SOAR). For questions about this process, please contact Workday Support at 702-774-4242 or workdaysupport@unlv.edu. You may request a new position in Workday once the supervisory organization has been established.

Task 2: Complete Documents for the Position

For Academic and Administrative Faculty positions, complete and attach the following documents in the Create Position business process:

  1. New Position Request Form
  2. Position Description Questionnaire (PDQ) (administrative faculty only)
  3. Organizational Chart (academic faculty only)

For Classified positions, complete and attach the following documents in the Create Position business process:

  1. Classified Vacancy Announcement or Facilities/Custodial only Classified Vacancy Announcement (cover letter is optional on this one)
  2. Classified Job Description Questionnaire (form: NPD-19)
  3. Essential Functions
  4. Organizational Chart

Task 3: Request Approval

The workflow will be routed to a compensation & classification analyst who will approve, deny, or change the requested classification for the position. The new position request form will then be forwarded to Financial Planning, Budget & Analysis for position budgeting. Task 4: Notification of Approval

When your new position has been approved, a notification of completion will be sent to the initiator (Hiring Manager and Administrative Assistant role in Workday). A position number will be generated in Workday for each new position in an eight-digit alpha-numeric format: P0xxxxxx.

For Existing Positions: Create Job Requisition

Task 1: Create a Job Requisition

Once your new position has been successfully created in Workday, request to start your recruitment using the Create Job Requisition business process in Workday. For assistance in creating a job requisition, please refer to the Create Job Requisition Job Aid.

If your position requires changes or you need to update the duties of the position (PDQ or NPD-19) prior to creating the requisition, please initiate the Edit Position Restrictions. Questions? Task 2: Complete Documents for the Position

For Academic and Administrative Faculty positions, complete and attach the following documents in the Create Job Requisition business process:

  1. Vacancy Announcement Academic-Administrative Faculty
  2. Request for Ad Quote (if applicable, see Step 2: Job posting for info)
  3. Position Description Questionnaire (PDQ) (administrative faculty only)
  4. Organizational Chart (academic faculty only)

For Classified positions, complete and attach the following documents in the Create Job Requisition business process:

  1. Classified Vacancy Announcement or Facilities/Custodial only Classified Vacancy Announcement (cover letter is optional on this one)
  2. Classified Job Description Questionnaire (form: NPD-19)
  3. Essential Functions
  4. Organizational Chart

Task 3: Notification of Approval

When your job requisition has been created in Workday, a requisition number will be generated in an 8-digit alpha-numeric format: R0xxxxxx. The job requisition will be assigned to a primary recruiter for posting.
