General Information

  • All property and equipment, both capitalized (with barcoded financial tag) and non-capitalized assets, purchased with university funds including unrestricted university funds, grants, endowments or gifts, items donated to the university, or items acquired for university use through other means are the property of UNLV, and title remains with the university at all times until asset disposal.
  • The purpose of the UNLV Surplus Center is to provide a central point of delivery of any university owned equipment or supply, which is no longer utilized within a particular department or campus office.
  • Entities affected include all units, university employees and volunteers, students and impacted members of the community.
  • Deans, Directors, Department Heads, and Unit Managers have the primary authority and responsibility to execute Surplus activity.
  • The Department Head is responsible for the equipment assigned to their respective department. This general responsibility includes control, accountability, inventory, and maintenance of all equipment purchased for, transferred to, donated to or assigned, to the department. The Department Head is also responsible to ensure that all equipment, that is no longer usable, is processed through the Surplus Property office.
  • Individuals responsible for processing surplus equipment and materials will ensure all documentation is properly submitted. Individuals are also responsible to coordinate transportation of all surplus items to and from the Surplus Warehouse.
  • All surplus university property should be properly identified, recorded and disposed of, when no longer needed.
  • The Surplus Center in conjunction with UNLV Property Control is responsible for coordinating the storage, disposal, and sale of surplus university assets, in order to ensure compliance with all federal granting and contracting agencies, as well as NSHE policies.
  • No other department or individual has been granted permission to dispose of Surplus property and University property should not be removed from UNLV premises, for any reason except when authorized by UNLV Property Control.
  • Any computer, hard drive or electronic media, regardless of remaining useful life, must be declared as surplus and disposed of accordingly. These devices must be totally erased or rendered unreadable per UNLV’s data media sanitization policy, before it is disposed of through departmental transfer or Surplus Property.
  • Employees should contact the Office of Information Technology for assistance in sanitizing the media, if necessary. This responsibility to safeguard sensitive data lies with the end user, as outlined in UNLV and NSHE policies.

  • The UNLV Surplus Center conducts sales open to the public on Wednesday, Thursday and Friday from 1-4pm.
  • All goods are sold on an “as-is” basis. There are no refunds or returns; all sales are final.
    • “AS-IS” BASIS OF PURCHASES: The University of Nevada Las Vegas has the right to withdraw items from the public sale and to refuse any/all sales. All items are sold “AS IS WHERE IS”. The University of Nevada Las Vegas does not provide a warranty; the purchaser must determine the condition of the sale items.
    • DISCLAIMER OF ALL WARRANTIES AND INDEMNITY: The Board of Regents of the Nevada System of Higher Education, on behalf of the University of Nevada, Las Vegas (“UNLV”) disclaims any and all warranties and representations, express or implied, oral or written, with respect to the items purchased, including, without limitation, any implied warranties regarding title, condition, merchantability, fitness or suitability for any particular purpose. By accepting possession, the purchaser agrees to defend and hold harmless UNLV and its agents and employees, from all claims, damages and causes of action, present and future, that may arise from or in connection with the removal or use of such items.
  • Payment is accepted by credit card only for external customers that are non-UNLV departments.
  • UNLV departments may pay for goods using an Interdepartmental Requisitions (IDR).
    • Department purchases of computers and related items, greater than four years old, will not be supported by the Office of Information Technology (OIT). Vintage computers are not supported for campus use and cannot be purchased with an IDR.

  • Surplus property that cannot be sold may be donated to any tax supported agency or non-political 503C non-profit entity. Preference will be given to government agencies in the State of Nevada.

If you have gently used goods that you are not using you can give them a second home while enhancing the UNLV student experience through the sale of your donated goods.

All donors will receive a donation receipt.

Pickups

Pickups (street level/first floor only) are arranged on a limited basis and subject to available resources. If your donation requires pickup, please contact a Surplus Center representative to explore that possibility. Thank you in advance for your understanding that pickups may or may not be available.

  • Items having no residual value to the university or to any donation site may be stripped for parts and/or scrapped. The Surplus Center will coordinate for disposal to a landfill and/or recycling center. The disposing department will incur no costs.

  • The Surplus Center reserves the right to determine the value of an item(s) for resale base on competitive prices from like sales channels or valuation models.
  • For items that require an appraisal, the item’s resale price will be determined based on the appraisal.
  • Appraisal fees will be deducted from the department’s portion of the sale’s proceeds.
  • The Departments' share of sales proceeds on property sales is calculated as per the table below. Please note that the table pertains to the sale of each individual item on a single unit basis, and/or, a single sale of one lot of equipment when such lot sale is generated by a department.

This current proceeds sharing policy has been in place for over 10 years; established by benchmarking other universities (i.e. Stanford). Sales proceeds belong to the university. UNLV Surplus Center does not receive state funding and draws from these proceeds to fund operations.

On occasions where a department independently identifies an interested outside buyer for its departmental property, the department should contact Property Control to research, structure and administrate the transaction in compliance with applicable policy. (Property Control deducts an 18% administration fee from proceeds.)
