Exceptions

Exceptions are few and include:

  • Events sponsored by Admissions for visitation, recruitment, or pre-enrollment activities for prospective students; youth are in the care and custody of Admissions staff.
  • Events open to the public where children may attend and are under the supervision and care of a parent or guardian.

Requirements

Each NSHE-affiliated organization must complete the list below 15 working days before the first date of a reservation wherein youth/minors are the primary audience; information may be submitted to your assigned Event Coordinator. Original signatures are required. The following are the required forms to submit, including which parties complete them and whether they are kept by the client or submitted to UNLV. Your assigned Event Coordinator will provide you with the forms:

Recommendations

  • Each NSHE-affiliated organization should conduct criminal background checks of all organizers, chaperones, and volunteers who may interact with youth and minors. These checks can be arranged by UNLV Human Resources by setting up an account. Ask your Event Coordinator for more information.
  • Check each organizer, chaperone, and volunteer's name against the offender database. It can be found here. Annual training is also strongly recommended about reporting requirements, best practices. An example of such training can be found here.
  • Groups follow the American Camp Association guidelines on ratio of staff and volunteers to children for day camps:
    • Children aged 4-5 is 6:1
    • Children aged 6-8 is 8:1
    • Children aged 9-14 is 10:1
    • Children aged 15-17 is 12:1

Records Retention

Sponsoring organizations or departments must hold all records in paper or electronic format for 25 years.
