Departments planning a special event on campus should review requirements from Risk Management & Safety (RMS) to help events run safely and meet university guidelines.

All special events must begin with submission of the Campus Special Events Questionnaire through University Police Services. The questionnaire is shared with campus partners, including Fire & Life Safety, Risk Management Insurance and Claims (RMIC), and Occupational Safety & Health, so teams can review event details and determine whether permits, safety plans, or insurance documentation are required.

A special event may include activities that could cause disruption, feature high-profile speakers, include a majority of non-UNLV guests, involve concerts or amplified sound, or take place in locations that may affect traffic, parking, classroom instruction or building access.

Fire & Life Safety requires permits for certain event elements, including food trucks and tents or membrane structures larger than 400 square feet. Teams may also request an event layout diagram. Events expecting 1,000 or more attendees must include an Emergency Operations Plan, designated crowd managers, and permits from the Nevada State Fire Marshal’s Office.

As of Oct. 1, 2025, the State Fire Marshal’s Office also requires a permit for open flames (barbecues, Sterno, fire pits, etc.) at events with 500 or more attendees. Permit applications must be submitted at least 15 calendar days before the event.

RMIC may require vendor lists, event maps or routes, certificates of insurance for vendors, and liability waivers for activities that involve risk.

Event planners are responsible for ensuring all required insurance and documentation are received for the event, including certificates of insurance with applicable endorsements or waivers, if required. Event planners can contact RMIC for insurance inquiries.

Event setups must also follow Occupational Safety & Health guidelines. This includes properly securing tents and equipment, covering electrical cords to prevent tripping hazards, separating visitors from cooking areas, and ensuring adequate lighting and space for attendees.
