As the new fiscal year gets underway, PCard holders should keep upcoming transactions, monthly verification deadlines and an updated suspension policy in mind.

Plan Ahead for PCard Increase Requests

If you are planning an event, travel or another transaction where payment will be made at a later date, request any needed PCard increases in advance by emailing pcardunlv@unlv.edu. This gives the PCard Office time to process the increase before the transaction.

  • Before making a purchase, check your available balance in PaymentNet to make sure the transaction will not be declined at the time of payment.
  • This may apply when paying in person on the day of an event, purchasing group tickets on-site at a venue, checking into a hotel or completing other planned transactions.

For emergency travel situations during evenings, weekends or other times when an advance increase is not in place, call J.P. Morgan directly at 1-800-316-6056 and let the bank know an increase is needed for travel.

J.P. Morgan can process increases for emergency travel expenses only. The phone number is also listed on the back of the PCard.

FY27 PCard Cycle and Verification Dates

FY27 PCard cycle and verification deadlines are posted on the PCard website.

The PCard billing cycle runs from the 26th of each month through the 25th of the following month. Verifications and approvals are due seven business days after the billing cycle closes.

Verifications must be in “approved” status on or before the deadline.

  • Accounts do not reflect purchases until the PCard verification, or PCV, is approved.
  • Late PCV approvals can result in inaccurate budget balances and affect reporting, resource allocation and forecasting.
  • Before making a purchase, be sure required prior approvals, hosting forms and other documentation are in place.

FY27 PCard Suspension Policy Update

To mitigate institutional risk and ensure compliance with university policy, purchasing privileges cannot continue when PCard transactions are not verified and fully approved by the monthly deadline.

If verifications are not fully approved by the due date, the cardholder’s PCard will be suspended for at least the remainder of the current billing cycle. The card will remain suspended until all late verifications have been fully approved.

Cardholders may request an extension through the next billing cycle deadline by submitting a TDX ticket. The ticket is currently being developed, and a link will be shared later this month and made available on the PCard website.

Cardholders may receive a maximum of three extensions per fiscal year.
