Recently, the Office of Sponsored Programs (OSP) has identified an increase in Workday change tickets requesting updates to the Worktag Owner on Grant (GR) / Award (AWD) accounts. These requests are often associated with ad hoc or departmental business process needs.
Please note:
The Worktag Owner role must not be changed on sponsored program AWD/GR accounts.
Definition and Compliance Requirement
Within the Workday Grants Module, the Worktag Owner is the officially recorded Principal Investigator (PI) for the sponsored project. This role is system-defined and is directly tied to:
- Sponsor and institutional reporting
- Security and access roles
- Effort certification and compliance workflows
- Audit, risk, and accountability requirements
While the Worktag Owner role exists across all Workday Financial Cost Management (FCM) modules, its function within Sponsored Programs is distinct and compliance-critical.
Process Statement
- Worktag Owner changes on GR/AWD accounts are not allowable through departmental or security role requests
- Effective immediately, OSP will not approve or process Security Role tickets requesting Worktag Owner changes on sponsored program accounts
- The Worktag Owner on a GR/AWD must remain aligned with the officially designated Principal Investigator
Principal Investigator Changes
A change to the Worktag Owner on a sponsored program account may occur only under the following conditions:
- A formal PI change is requested through OSP, and
- The sponsor approves the change, and
- The change is processed exclusively by OSP to ensure institutional and sponsor compliance
Administration
The Worktag Owner on sponsored program GR/AWD accounts must not be modified outside of OSP. Any unauthorized changes compromise compliance, reporting integrity, and audit readiness and will be rejected.
