The third installment of the Workday Security Roles series highlights two common HCM position-based Workday security roles and seven functions available to these roles.

Human Capital Management (HCM) Administrative Assistant

The Human Capital Management (HCM) administrative assistant (AA) role is assigned to workers who support their organizations with HR functions. This role is assigned to the supervisory organization. Those in this role can complete the following transactions in Workday:

  1. Hire employees and contract contingent workers
  2. Create positions and job requisitions
  3. Request compensation changes and job changes
  4. Initiate terminations and end jobs
  5. Add additional jobs to workers, edit positions, create one-time and period activity payments
  6. Complete I-9 verification
  7. Run weekly, monthly, and semi-monthly HCM audit reports

Human Capital Management (HCM) Timekeeper

The Human Capital Management (HCM) timekeeper role is assigned to workers who perform timesheet management functions. This role is assigned to the supervisory organization. Those in this role can complete the following transactions in Workday:

  1. Enter time worked on behalf of others
  2. Review and approve data by payroll deadlines
  3. Correct time entry errors and submit revisions
  4. Access the ‘Team Time’ app
  5. Approve time entry revisions
  6. Run time entry reports to assist those with the AA role in identifying workers without recent time entries for termination or end job processing
  7. View time entry reports to identify workers nearing hourly appointment maximums
