When planning events, developing your website, marketing materials, or preparing to take a new headshot, consider the following tips to ensure you end up getting exactly what you need.

Event Photography

Two weeks prior to your event

  • Call or schedule a meeting with Photo Services to answer and discuss the following questions.

Questions to discuss when scheduling event photography

  1. Who is the client?
  2. Who will be our onsite contact at the event?
  3. What are the goals of the event?
  4. What type of photos are you looking for?
    1. Posed, interactive, podium, etc.
  5. What highlights would you like to capture during the event?
  6. Are there important guests or donors you’d like us to photograph?
    1. Make a list.
  7. Any special requests?
    1. Regent photos
    2. Special guests
    3. Unusual or special considerations
  8. How do you plan to use the photos after the event?
    1. Print
    2. Web
    3. Donor thank you/recognition
  9. Are there other ways you will repurpose the photos?
    1. UNLV News Center
    2. Social Media
  10. Who/where will images be delivered or made available?
    1. When a guest asks for a copy of a photo taken, how should we direct them?
  11. Where is the venue? Where to park? Estimated travel time?
  • If a specific group photo is requested, schedule them before the event begins.

On the day of the event

  • Plan to spend a few minutes with the photographer on the day of the event. Orient them to the layout and schedule of the events and last-minute requests. Have a designated time and location to meet.

Photography for Websites and Marketing Materials

Choosing the right images for your website or marketing materials is as essential to getting the right words and design. Spend time thinking about and discussing with our photographers the following questions.

1. Discuss and answer questions

  • What is the goal of the piece?
  • Who is the target audience(s)?
  • What message(s) do you want to convey?
  • How do you want it to feel? High energy? Conservative? Subdued? Colorful?
  • How will your target audience receive the piece?

2. Look at what we’ve already got.

  • Make an appointment to come by our studio to look through our archives and galleries. There may be something we’ve already done that suits your needs.

3. Consider scheduling a photo shoot.

  • Scheduling a shoot specific to your needs will provide you with images that are completely on target to the message you want to send. Give our photographers a call and discuss your goals with them.
