As we approach the spring 2026 semester, it's time to initiate part-time instructor transactions. Below is a list of instructions, semester dates, and deadlines to ensure a smooth payroll completion for PTI for Credit. Spring semester obligation begins on January 12, 2026 and ends May 22, 2026.
New Hires
New Hire transactions should be routed to HR for review by Nov. 21.
Employee Type: Semester (PTI Hours Per Week)
Benefits Eligible
- Eight or more credits / 20 hours or more per week across all NSHE jobs
- Hire date: January 1, 2026
- First day of work: January 1, 2026
- Note: If the course is a modular set, use the relevant dates
- Costing allocation start date: January 1, 2026
- Costing allocation end date: Leave blank
Include course information, class days, number of credits, and per credit rate. If modular, note that in the comments as well.
Non-Benefits Eligible
- Hire date: January 12, 2026
- First day of work: January 12, 2026
- Note: If the course is a modular set, use the relevant dates
- Costing allocation start date: January 12, 2026
- Costing allocation end date: Leave blank

PAP Notes
- For PTI new hires, the job number (P#) will need to show before you can add the PAP.
- If the course is for modular instruction, use the relevant dates.
- Please utilize the template for comments in both the activity row and overall comments section: “class name / number, number of credits, per credit rate, total amount.” If modular, note that in the comments as well.
- Best practice is to add each course on a separate row of the PAP.
- For late entries, use an additional row for the January payment to ensure the January payment will pay with the February payroll on the March 1 payday.
- For benefits-eligible use activity dates January 1, 2026, to January 31, 2026, and payment dates February 1, 2026, to February 28, 2026.
- For non-benefits-eligible, use activity dates January 12, 2026, to January 31, 2026, and payment dates February 1, 2026, to February 28, 2026.

Additional Information
Remote I-9
If the employee will be working remotely (out of state), the remote I-9 process must be requested by Dec. 5 to allow HR time to process and remain in compliance. For instructions, reach out to Jared Nitz.
ECC
ECC Forms should be completed and submitted to Academic Resources before Dec. 10. The ECC documents should be attached to the transaction.
