Communication
The UNLV AA publishes a newsletter called Alumni News. The print edition is sent to alumni with mailing address information on file. Electronic issues of Alumni News are sent to all alumni with valid email addresses on file.
Alumni News covers major alumni events, such as Homecoming and Dinner With a Rebel, and reports on new membership benefits, calendar items, alumni profiles, and campus news. Chapters have the opportunity to report on their activities and programs as well.
Alumni e-Flash is an email sent as needed to update alumni on recent developments or issues of immediate interest.
Chapter Email
Chapters can request email data for chapter members and alumni from their academic units who are nonmembers. These lists are available for one-time use in blast emails. Each time you’d like to send a blast email, a new list must be pulled to ensure the association is complying with anti-spam laws.
Many chapters have requested email addresses through UNLV OIT; for example, nursing.alumni@unlv.edu. Work with your college staff to set up an email account, or you can request a generic account through Gmail.
The association uses Campaign Monitor to send email messages. This company has been great to work with, and we recommend your chapter consider using its services until our database has the capability to send email.
Chapter Website
Most colleges have links to “alumni” on their home pages. Work with your college staff member to post information about your chapter. Submit your event to the official university calendar.
Guidelines for Using Alumni Data
To maintain the integrity of the alumni database and follow applicable anti-spam laws, the following guidelines must be followed:
-
Member contact information is confidential and is intended for use in university business.
Volunteers must sign confidentiality agreements and agree to use alumni data with care. Agreements should be on file with chapter.
-
To avoid conflicting messages or erroneous information, please review all messaging such as member appeals and newsletters with alumni relations.
As we all know, things can change pretty rapidly. The association strives to provide accurate and timely information. With a less centralized structure of the chapters, the association runs the risk of miscommunication with our members. To reduce this risk, please work with alumni relations to have your message reviewed.
-
Email guidelines
When communicating with members in a broad manner, place the alumnus/a’s email address in the BCC box. Many spam filters stop all BCC emails, so if your chapter can use a system such as Campaign Monitor, etc., this will ensure delivery of your message. Please collect and forward bounce-backs and corrected email addresses so that we may update our database.

Membership pitch
For all board electronic communications, the Alumni Association requests that a message about joining or renewing be placed somewhere in your message. Here is a template:
Join the UNLV Alumni Association. Connect with the alumni, the university, and other supporters of UNLV. It's fast and easy when you join online. Please consider designating Alumni Chapter to be connected with graduates from your academic area at no additional cost.
Graphic Standards
The UNLV Alumni Association has built a graphic identity, or brand, that alumni can readily identify. This graphic identity has been extended to chapters to bring consistency to communications from, or about, the association.
Here are tools to help you build your chapter’s graphic identity:
