Administrative User

An administrative user is someone who accesses MyUNLV for administrative purposes such as accessing individual student records, student financial information, class schedule information, advising information, financial aid information, queries, etc.

Faculty with administrative responsibilities, such as advising students or reviewing class schedule data are considered administrative users. Faculty or Instructors looking to access their own class schedules, enter grades or email their students from the class roster are not considered administrative users.

Administrative access to the MyUNLV system is restricted to UNLV employees. Employees are granted access after they have completed the following checklist:

  1. Submit New User Security Request (form) — prior to submitting the form, work with your supervisor to identify the security access you will need. This may be identifying a user who will act as a template for your security access or listing the business processes you will be conducting in the system.
  2. Complete Compliance Requirements — all administrative users are required to complete two compliance steps. Security will not be granted without record of completion of these two requirements.
    • FERPA Training — Because you will be accessing student records, such as enrollment records and schedules, you are required to view the short FERPA training and quiz. When you complete the quiz, be sure to fill out and submit the acknowledgement form at the end. This will send the training team a confirmation that you have completed the training.
    • NSHE Security Form — The Nevada System of Higher Education also requires all users to submit a security agreement prior to accessing a MyUNLV database. The NSHE Security Form will be emailed to you after you have submitted the New User Request form Please, fill out the top section of the form with the exception of the "access requested" section, sign the agreement on the applicant signature line, obtain a signature from your supervisor on the supervisor line, scan and email the form back to MyUNLVSupport@unlv.edu or bring the form to your first training session.
  3. Attend Training — After submitting your New User Request form the MyUNLV training team will contact you to schedule required training. Typically users need to complete at least one required training prior to gaining access.
    • Upon completion of required training, the MyUNLV training team will submit a security request on your behalf. User security must be approved by module business owners. Business owners have the right to decline security requests. Security access is typically completed within a week of completing training.
  4. Log into MyUNLV! — Once you have completed all the necessary steps to gain access to MyUNLV, you will be emailed your NSHE ID (if necessary) and temporary password. To view a tutorial for logging in, visit the Staff Tutorials page.
